Sales tracking for ice cream shops: make the busy season count

Updated October 12, 2026 · Groundwork Metrics

Ice cream sales swing with weather and season. A dashboard shows your daily and hourly pattern, so you know when to open, when to staff up and which products carry the summer.

Because your best days are concentrated, small improvements on those days matter more than anywhere else, so it pays to see them clearly.

What to track

Daily and hourly salesShows your peak evening hours and when the line is actually long.
Product mixCompares scoops, sundaes, shakes and pints to go.
Weekend vs. weekdayShows how much the business depends on weekends and warm days.
Seasonal trendShows when the season ramps up and winds down, to plan staffing and hours.

What a one-page dashboard looks like for ice cream shops

This is a sample for a fictional business, built the way we'd build yours: the headline number first, then the pattern across the week, then the top sellers.

What to look for

  • Look at your shoulder seasons. Spring and fall hours are where a dashboard can save you from staffing an empty shop.
  • Pints to go are a different business from scoops. Track them separately.
  • A slow weekday may only need a small, regular reason to visit, like a weekday flavor.

Data that usually works for ice cream shops: exports from Square, Toast, Clover or a spreadsheet.

How to get your sales data out

Menu names change, so if you can't find these, tell us what system you use and we'll point you to the right place.

  • Square: in your Square Dashboard, open Reports, choose a sales report and use Export.
  • Shopify: in the Shopify admin, open Orders and use Export, or export from a report under Analytics.
  • Etsy: in Shop Manager, go to Settings, then Options, then Download Data, and choose orders.
  • Clover, Toast and other registers: look for a Reports or Export option and choose CSV or Excel.
  • A spreadsheet or notebook: type up a few weeks with the date, what sold and the amount. That's enough to start.

You don't need to send customer names, emails, phone numbers or card details. We'd rather you leave them out.

Questions

Can you add weather data?

Not in the free dashboard. If weather matters to your decisions, we can talk about adding it for a monthly client.

Is a dashboard useful for a seasonal shop?

Yes. Comparing this season to last, week by week, is one of the clearest views a seasonal shop can have.

Do you need flavor-level data?

It's a nice extra. A product-category breakdown is enough for the main views.
