Sales tracking for coffee shops and roasters: see your rush hours at a glance

Updated October 12, 2026 · Groundwork Metrics

Coffee shops run on rhythm: a morning rush, a lull, a weekend spike. A sales dashboard makes that rhythm visible, so you can staff for it, stock for it and spot the days that drift off pattern.

If you also sell beans online or wholesale, a dashboard can show café sales and bean sales side by side, so you can see which side of the business is growing.

What to track

Sales by hourShows the real shape of your rush, so staffing matches demand instead of habit.
Drink and food mixShows which drinks carry the menu and which ones slow the line without selling.
Average ticketTracks whether add-ons like pastries and extra shots are working.
Weekday and weekend trendsSeparates a genuine change from the normal weekly swing.
Retail beans vs. café salesIf you roast, shows whether bags and subscriptions are growing next to the bar.

What a one-page dashboard looks like for coffee shops

This is a sample for a fictional business, built the way we'd build yours: the headline number first, then the pattern across the week, then the top sellers.

What to look for

  • Look at sales by hour before changing your hours. Shaving a slow opening hour can matter more than another drink on the menu.
  • A big drink on the menu that sells quietly is not a problem. A big drink that sells quietly and takes four minutes to make is.
  • Track bean sales separately from drinks. They have different margins and different growth levers.

Data that usually works for coffee shops: exports from Square, Toast, Clover, Shopify (for bean sales), Etsy or a spreadsheet.

How to get your sales data out

Menu names change, so if you can't find these, tell us what system you use and we'll point you to the right place.

  • Square: in your Square Dashboard, open Reports, choose a sales report and use Export.
  • Shopify: in the Shopify admin, open Orders and use Export, or export from a report under Analytics.
  • Etsy: in Shop Manager, go to Settings, then Options, then Download Data, and choose orders.
  • Clover, Toast and other registers: look for a Reports or Export option and choose CSV or Excel.
  • A spreadsheet or notebook: type up a few weeks with the date, what sold and the amount. That's enough to start.

You don't need to send customer names, emails, phone numbers or card details. We'd rather you leave them out.

Questions

Which coffee shop systems can you work with?

Anything that exports a file: Square, Toast, Clover, Shopify, Etsy or a spreadsheet. If you're not sure how to export from your system, tell us what you use and we'll point you to the right report.

Do I need item-level data?

It helps. Item-level data gives you the drink mix. Even a daily total gives you weekday trends, so send what you have.

Can the dashboard track a second location?

Yes, if the exports include a location column or come as separate files. We'd show each location and a combined view.
